The stages below map out the likely progress of planning a tour with ACFEA Legato. From the start, one of us personally works with you to determine your ensemble’s musical interest, budget, size, travel dates and itinerary and guide you through the process.

Choose a Destination

The more details you can give us, the more effectively we can fit the finished tour to your needs
For example:
- Approximate group size
- Type of ensemble (choir, orchestra, concert band)
- What time of year do you want to tour?
- Number of nights
- Approximate budget per head
- Type of accommodation and meal basis
- Number of ‘free’ places i.e. for chaperones, group leader etc.
- Number of concerts

Your Concerts
Our knowledgeable staff will consult with you throughout on the number and type of concerts you want to include, and to choose appropriate venues. Performances can take place in churches - participating in a service and/or giving a recital; in concert halls or bandstands; as part of music festivals; in town squares, parks or on outdoor stages. Sometimes there may be an opportunity to give a joint concert with a local ensemble – a great way to ensure a good audience and meet people! Promoting your concert is a priority for us. As soon as possible, once the contract has been signed and deposit paid, please send us your promotional materials (please refer to the separate notes on producing promotional materials for advice). Performances cannot be confirmed until promotional materials have been received. (top)
Leisure Time
There is more to touring than performances. Experiencing the culture of another country through its historic and recreational sites, language and food can really make a tour special. With over 50 years of experience, ACFEA Legato can work with you to plan educational and entertaining excursions for your group, and meals highlighting the culinary delights of your destination. Be it a guided tour of the Colosseum, a Moroccan dinner with music and belly dancing or a performance at the Vienna State Opera, you can rest assured that our operations team will offer leisure activities which are both diverting and well suited to your ensemble. Standard Payment Schedule
In order to make commitments to our suppliers ACFEA Legato requires a non-refundable deposit and signed contract to begin making arrangements for your tour. One or two interim payments will be required, with the final balance due 60 days prior to travel.
• Please note that our quotation is based on a specific number of paying participants.
• Please keep us informed of any changes to your group size and we will advise you of
the revised land price of your tour. (top)
Passports and Visas
It is the group’s responsibility to ensure that all participants have a valid passport and any necessary visas. The cost of visas is not included in our quotation. Please note that your country of destination may require passports to be valid for up to six months after the tour has ended. It is recommended that all participants bring a photocopy of the photo page of their passport. (top)
Travel Insurance
ACFEA Legato requires all group participants to have a comprehensive travel insurance policy.
As a member of the Association of British Travel Agents (ABTA), we are able to introduce you to ABTASure, the only travel insurance recommended by ABTA. ABTASure is arranged by Citybond Suretravel and underwritten by Europ Assistance.
Specialised Travel is an Introducer Appointed Representative of Citybond Suretravel for the sale of travel insurance and we have negotiated discounts on the ABTASure schemes for our clients.
Trip Travel (Single Trip Policies)
Covering single trips of up to 100 days for those up to 75 or up to 31 days from 76 to 85 years of age, this policy is ideal for family holidays, weekend breaks, cruises, coach tours, camping or business travel.
Year Round (Annual Multi-Trip Policies)
With a limit of 50 days for any one trip and with 17 days Winter Sports cover available up to age 65 years, this policy is ideal if you travel frequently for business or leisure. Referral Code 56275.

60 Days Before Travel: Checklist
• Payment of the final balance
• A final list of participants, with names (exactly as they appear on passports), dates
of birth, passport numbers, dietary requirements and any special requirements
• Rooming lists for each accommodation
• Homestay application forms (if appropriate)
• Final repertoire (please note it is the group’s responsibility to provide printed
programmes with all necessary translations)
• A final list of instruments and / or oversized baggage (if appropriate)
• Emergency contact information for your group, both on the tour and at home (top)
